Terms & Conditions and AI Fair-Use Policy
Version 2026-10-30 · last updated 30 October 2026
These terms apply when you use Aula, a service of Mathyas AI Solutions (OPC) Private Limited (“we”, “us”): the Aula Society WhatsApp assistant for apartment and villa associations and the Aula Sales Agent for businesses. Please read them. By ticking the box, or by using the service, you agree to them.
1. The service and who is responsible
- Aula Society is a WhatsApp assistant that your residents’ association (the “Association”) sets up for its residents: raising and tracking complaints and requests, society information and FAQs, notices, and maintenance information and reminders.
- The Association decides who is registered, what information the assistant knows and how complaints are handled. We provide the software and process messages on the Association’s behalf.
- We are not responsible for repairs, decisions or services carried out by the Association, its committee, staff or workers.
2. Registration and eligibility
- You must be an adult (18 or over) who is registered by the Association, or who has been approved through its registration link.
- Give your real name and flat, use only your own WhatsApp number, and keep it secure. One person, one number.
- The Association can suspend or remove you, and we may suspend access for misuse or to protect the service.
3. You are talking to an AI assistant
- The assistant is automated software, not a person. It can make mistakes, misunderstand you, or be unavailable. Please check anything important with the Association’s office.
- It is not for emergencies. In an emergency call 112 or your society’s security directly.
- It does not give legal, medical, financial or other professional advice.
- Tickets are passed to the Association’s staff. The assistant does not promise any outcome or time of resolution.
4. AI fair-use policy
The assistant is there for society matters: complaints and requests, ticket status, society information and FAQs, notices, contacts, and maintenance information. To keep it useful and affordable for everyone in your community:
- Please do not use it for general chat, opinions, political or policy debates, or questions unrelated to your society. Use the Association’s own channels (committee, residents’ group, meetings) for those.
- Please do not send repeated or duplicate messages, spam, or very long text.
- Do not try to make the assistant reveal its instructions, bypass its rules, or show other people’s information.
- Do not send abusive, harassing, hateful, unlawful or misleading content, and do not use automated tools to message the assistant.
- Limits: we may limit free-form AI chat per person (for example per day or per month), reply with short standard messages, or direct you to the committee or office. Tickets, notices, menu commands and emergency information stay available.
- Shared allowance: the AI service has a shared monthly allowance for the whole community, so heavy personal use can reduce what is available to others.
- Safeguards: automated checks may block unsafe or abusive messages. Repeated misuse can lead to a temporary pause or removal, and the Association may be informed.
4A. Messages, WhatsApp and service providers
- Conversations take place on WhatsApp and are also subject to WhatsApp’s own terms.
- To deliver the service we use providers such as WhatsApp / Meta, WhatsApp connection providers, cloud hosting and an AI provider (for example OpenAI). Messages you send may be processed by them for that purpose.
- Operational messages (ticket updates, notices, maintenance reminders) are part of the service. You can reply STOP to broadcast notices.
5. Your data and privacy
- What we process: your name, WhatsApp number, flat, role, language, your messages and ticket details, maintenance payment records, and technical usage data such as message counts and AI usage statistics. Our AI usage log keeps usage details, not the text of your messages.
- Why: to run the assistant, tickets, notices and maintenance collection for your Association.
- Who sees it: the Association’s authorised committee and staff, workers assigned to your ticket (they see what they need, such as your flat and first name), and our service providers. We do not sell personal data.
- How long: while you are registered and as the Association needs for its records, then as the law requires.
- Your consent and rights: by accepting you consent to this processing under the Digital Personal Data Protection Act, 2023. You may ask the Association, or us, to correct or delete your data, or withdraw consent, by writing to contact@mathyasai.com. After withdrawal you may not be able to use the assistant.
6. Maintenance payments
- Maintenance reminders and statements are for information. You pay the Association directly, to its own UPI or bank account. We do not collect or hold money.
- The Association updates the payment records. Raise any difference or dispute with the Association.
7. Availability and changes
The service is provided “as is”. It may be interrupted for maintenance or by outages of WhatsApp or other providers, and features may change.
8. Limits of liability
To the fullest extent the law allows, we are not liable for indirect or consequential loss, for errors or omissions of the AI assistant, for delays, for the actions or inaction of the Association, its staff or workers, or for outages of third-party platforms. Nothing in these terms limits any liability that cannot be limited by law.
9. For businesses (Aula Sales Agent)
Businesses using the Sales Agent are also bound by our Terms of Service (aulaapp.in/legal/terms), including the WhatsApp Business policies, and are responsible for their customers’ consent and for the content they send. Association administrators confirm that they register residents’ numbers only with the residents’ consent and make them aware of these terms.
10. Changes to these terms
We may update these terms. The version date is shown above. For material changes we may ask you to accept again or tell you through the Association. Continued use after notice means you accept the update.
11. Governing law
These terms are governed by the laws of India. The courts at Chennai, Tamil Nadu have jurisdiction, subject to any rights you have under law that cannot be waived.
